Application Status
You may check the status of your application any time online. This summary will provide you with the status of your application, detailed application requirements and which documents we have received.
Your status may indicate:
- Applied (Incomplete) - you are in the process of completing the application requirements.
- Application Complete - your application is now ready to review.
- In Review - your application has been sent for review.
Review Complete - the adjudication is complete and a letter will be emailed within two business days. - Held - request for additional information or completion of additional courses is required before making a final decision. Letter will be emailed with details.
- Declined - offer not accepted.
- Accepted - notice of acceptance has been received, registration process begins.
- Registration Complete - application and registration process is complete.
Undergraduate Document Requirement Changes
Applicants to undergrad programs who do not meet standard admission requirements could be asked at any time during the application process to submit additional documents to be considered through flexible admission.
Program or Offering Change Requests
Prior to the review of an application, applicants may request a change in the program to which they applied. Applicants who have applied to a program are only permitted to request a change in the program offering or concentration within that program prior to a Letter of Offer being issued.
Incomplete Applications
Prior to the admissions deadline, applicants with incomplete applications will receive regular status updates from Admissions. Due to high volume of calls and e-mail received, Admissions Advisors may not be able to respond to requests confirming receipt of individual documentation.
Following a program start date, the Admissions Office will attempt to contact each applicant whose application remains incomplete using their last known phone or e-mail contact information at least once prior to their application being closed.
Cancellation of Application
Applicants may cancel their application by notifying the Admissions Office in writing (by hard copy, facsimile, or verifiable electronic means).
The University may cancel an application for the following reasons:
- An application remains unpaid for more than 30 days;
- For reasons stated in the Application Declaration;
- Application remains incomplete for two or more consecutive intakes;
- The University is unable to contact an applicant through phone and/or email information on file;
- Cancellation or deferral of a program.
Admissions Decision
The application review process normally takes four weeks but may vary. The time required to conduct a comprehensive review of international credentials varies considerably and will affect normal timelines.
Meeting the admissions requirements set out by the University does not guarantee admission to a program of study. Royal Roads University reserves the right to refuse admission to any applicant and admissions decisions are deemed final.
Conditional Acceptance
A conditional offer may be granted to select applicants. All conditions must be successfully cleared a minimum of five (5) business days prior to the start of the program.
Conditional acceptance may be granted when:
- An applicant is in the process of completing an academic requirement for admission and can be expected to complete these requirements prior to the program start date;
- Unofficial transcripts were submitted and used for adjudication.
Once conditions have been established they must be:
- met (cleared) by the date indicated in the applicant's Letter of Offer,
- waived, if the faculty member responsible for adjudicating the application determines that the conditions should not have been, or are no longer, required, and the Admissions Manager approves, or
- subject to the Admissions Manager's approval, continued to a new due date, i.e. the condition remains on file until cleared.
Failure to clear all conditions prior to the deadline will result in an automatic deferral to the next program intake.
Probationary Acceptance
In limited cases, an applicant may be admitted to a program subject to meeting certain conditions such as maintaining a minimum GPA or grade in a course, term, or semester in the RRU program. In this instance the student will be placed on academic probation by the Registrar at the start of the program.
Failure to meet the conditions of a probationary acceptance will result in an automatic withdrawal from the program.
Acceptance
Upon receipt of a Letter of Offer, applicants will not be registered until they submit a Notice of Acceptance form (attached to the Letter of Offer) and specified tuition deposit.
The Notice of Acceptance must be received by the Registrar's Office a minimum of five business days prior to the program start date.
The tuition deposit is applied to the first tuition installment. The tuition deposit becomes non-refundable if registration is deferred to a future intake or cancelled within six weeks of the start date. See our Refund and Other Fees page for more details.
Expired Offers
Applicants who have been sent a Letter of Offer but have not responded by the deadline will be considered expired and the applicant's seat in the program will no longer be guaranteed. Prior to closing the applicant's file, Admissions will attempt to contact the applicant by phone and/or email at least once to provide the applicant with options to continue their application. If the applicant cannot be reached, does not respond to the follow-up notice, or wishes to decline his/her offer, the application will be closed.
Where limited seats are available, applicants will be considered for waitlist seats in their desired intake if the program is full. Waitlist priority is established once the file is returned from review. Applicants will be provided a Letter of Offer with the following options for processing their acceptance into the program:
- Accept seat on the waitlist only (declining future intakes);
- Accept a waitlisted seat with the understanding that if no seat is available by the start of the program the acceptance will be processed for the next intake of the program;
- Process acceptance for the next available intake of the program only.
File Retention
In accordance to RRU's Records Management practices, applications and relevant documentation will be kept on file for one year following the date on which a decision to decline, deny, or cancel an application was made.
One year after an application is closed the file and its contents will be destroyed.
